Key Responsibilities


High-Density Banker Coverage: Deliver elite, proactive administrative defense and high-level operational support for a fast-paced trading floor environment, directly covering 5 to 9 senior investment bankers and their immediate project teams.


Complex Calendar Architecture: Architect and synchronize fluid business schedules, adjusting real-time calendars around volatile market movements, urgent corporate restructuring demands, and global client availability.


Global Logistics Logistics: Coordinate comprehensive, end-to-end domestic and international multi-stop travel itineraries, managing flight connections, hotel arrangements, ground transit, and variable passport/visa requirements.


Information Gatekeeping & Discretion: Manage critical data requests, evaluate incoming corporate correspondence, handle sensitive executive calls with pristine telephone etiquette, and safeguard strict confidentiality across all client transactions.


Expense & Billing Reconciliation: Compile, track, and reconcile complex monthly corporate travel and entertainment (T&E) expense reports, ensuring complete alignment with internal accounting guardrails and auditing policies.


Executive Presentations & Research: Conduct periodic foundational market research and organize data inputs to draft, format, and assemble high-impact investor pitch books, tables, and compliance spreadsheets.


Client Reception & Logistics: Direct physical visitor reception for key high-net-worth clients, institutional stakeholders, and corporate executives, while managing associated conference room bookings and high-level meeting catering.



Experience & Qualifications


Minimum of 3+ years of dedicated experience operating as an Executive Assistant, Administrative Partner, or Workplace Operations Coordinator within a fast-paced corporate office.


Industry Focus (Preferred): Pre-existing background supporting trading floor environments, investment banking divisions (IBD), private equity firms, or institutional hedge funds.


Exceptional multi-tasking abilities, showing a clear history of managing competing, time-sensitive demands without sacrificing operational quality.


Strong interpersonal skills and a highly adaptable team-player attitude, comfortable working alongside a diverse network of senior analysts, managing directors, and global stakeholders.


Proven problem-solving capabilities, displaying clear tact, mature executive presence, and outstanding structural judgment during high-stress situations.


Academic Baseline: High school diploma or GED is required; a Bachelor’s degree from an accredited institution is preferred.



Technical Skills Required


Office Infrastructure Systems: Expert-level command over the Microsoft Office suite (Word, Excel, and PowerPoint), displaying deep proficiency in table creation, structural mail merges, advanced data formatting, and presentation building.


Corporate Admin Software: Practical experience utilizing advanced expense reconciliation systems (such as Concur or Expensify), enterprise calendar platforms, and secure digital archiving databases.
