Key Responsibilities
Calendar & Schedule Coordination: Proactively manage complex calendars, coordinate executive appointments, and schedule critical internal and external business development meetings.
Correspondence Management: Review, prioritize, and process high-volume emails, calls, and professional correspondence on behalf of corporate management teams.
Documentation & Reporting: Prepare detailed administrative reports, build professional slide presentations, and capture actionable meeting notes for operational review.
Travel Logistics: Coordinate comprehensive travel arrangements, including booking flights, securing accommodations, and designing detailed day-to-day itineraries.
Information Governance: Maintain secure corporate archives, organize confidential records, and handle sensitive business documents with absolute discretion.
Stakeholder Liaison: Act as a reliable point of contact between internal project groups and external enterprise clients, following up diligently on project deadlines and action items.
Experience & Qualifications
Experience: Proven professional background operating as a Personal Assistant, Executive Assistant, Administrative Assistant, or a closely related support role.
Education: High school diploma or equivalent practical corporate administrative experience is required.
Communication: Exceptional written and verbal communication skills with a track record of interacting professionally with diverse operational teams.
Organization: Superior time management and organizational abilities, enabling the independent balancing of multiple competing tasks under minimal supervision.
Data Security: Demonstrated capacity to handle highly sensitive personal and financial data under strict confidentiality protocols.
Technical Skills Required
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace productivity suites.
- Practical familiarity with automated calendar management applications and enterprise scheduling software.
- Knowledge of project coordination and task tracking platforms (such as Trello, Asana, or ClickUp).
- Mastery of virtual communication applications, cloud storage file structures, and modern remote office interfaces.
