Key Responsibilities
Comprehensive Calendar & Logistics Management: Manage complex corporate calendars, set up virtual conferences with multiple stakeholders, schedule international department reviews, and handle cross-border travel logistics or expense claims.
Executive Administrative Backing: Offer secretarial and administrative support to team leads and corporate executives. Handle confidential communications, meeting protocols, and executive schedules with strict discretion.
Digital Infrastructure & Records Maintenance: Write, format, and review business correspondence, presentations, and spreadsheets. Keep centralized cloud-based digital archives updated and maintain accurate data entry records.
Stakeholder Relations & Communications: Act as an administrative point of contact for internal teams worldwide and external corporate partners. Handle incoming communications, manage inquiries with professional phone etiquette, and prioritize urgent messages.
Financial & Workflow Procurement Support: Support departmental controllers by tracking operational expenses, processing purchase requests, monitoring supply needs, and identifying workflow bottlenecks to improve virtual administrative processes.
Experience & Qualifications
At least 2–4 years’ experience as an Administrative Assistant, Office Manager, or Executive Assistant in a corporate or multinational environment.
Excellent communication, professional presentation, and remote interpersonal skills, along with a strong customer-service approach.
Solid organizational habits, sharp analytical attention to detail, and proven ability to handle overlapping deadlines independently in a home-office setup.
Strong reliability, corporate integrity, and professional etiquette while handling sensitive business information.
Completed commercial vocational training (e.g., Kaufmann/Kauffrau für Büromanagement) or a Bachelor's degree in Business Administration, Office Management, or a related administrative field is highly preferred.
Language Requirements: Fluency in German and English is required for this international corporate network.
Technical Skills Required
Office Productivity Suites: Advanced skills in Microsoft 365 (Word, Excel, PowerPoint, Outlook) or Google Workspace.
Enterprise Virtual Collaboration: Experienced with enterprise communication platforms and digital video-conferencing systems (e.g., Microsoft Teams, WebEx, Zoom).
Data & Record Operations: Hands-on knowledge of enterprise data entry platforms, digital document management systems (DMS), and cloud collaboration tools.
